Purpose: To discuss the various issues raised at the previous meeting and come to conclusion on the urgent matters.
Minutes
1. Eid Competition
• The issue of the Bristol group who informed the CC that they celebrated the Eid but their report is not finished was discussed. Hassan was urged to get the report finished by tomorrow, as the deadline for submitting has already passed (7th Jan)
• The date for announcing the results of the competition to be delayed to 15th as a judging team is not yet formed in addition to the problem of the failure of the Bristol group to submit their report. This to be informed to members too.
• Jaa, who did not take part in the Eid celebrations held in any city to lead the formation of the judging team. The judging team not to include any one who took part in the Eid celebration in order to make the team independent and impartial. The possible candidates for the judging team discussed were Muthalib and Shareef from Rosemont, or Sodiq and Firushan from the AC in addition to Ja. Ja, to handle all the issues related to judging and the rest of the CC members not to get involved with any aspect of it whatsoever.
2. Special Rosemont Email address
• It was agreed that since Rosemont issues are the most critical issues that the CC will face, the decisions taken regarding Rosemont should be ideally agreed by all the members of the CC.
• All members agreed to introduce a special email address for Rosemont to be used by anyone who wants to visit the house. This will be of benefit to everyone involved, namely, the visitors and the tenants.
• A news article to be written regarding this and inform the members of this new email address.
3. Online Registration
• The importance of registering online to facilitate the formation of the Members’ Register of MSA was raised and agreed.
• Jaa has prepared a simple registration system for members to register online with MSA. This system was gone through by CC members and commented on how to improve it.
• The issue of automatic membership to MSA was discussed and since the issue is raised in the proposed amendments to the constitution, this discussion was not carried forward and is to be left for members to decide just as any other matter mentioned in the constitution.
• Ways of attracting members to register online was discussed. Ja proposed starting a MSA Blog, in which monthly competitions will be conducted and prizes awarded to the winner. The idea was well received by all. Various issues related to how to judge the competition was discussed and a common agreement was reached to ask members to post their blog articles and the article that receives the highest voting in that month will receive the prize for that month. Members have the freedom to send whatever articles they want, but moderation by the CC members will make sure that the article posted on the blog do not go against the constitution of MSA.
• All expressed their support for introducing the blog as it is an excellent idea to get more members to register, and contribute and interact with other members, thus its worth trying it out.
• Blog to be started once online registration system is ready.
4. SMS Service
• Muiz to pass to Jaa all the mobile numbers obtained so far from members to Jaa.
• SMS sending to be started after online registration is ready and announced.
• An initial SMS requsting members to register online to be sent then and once they register they will receive further SMS updating them of whatever major news article published on the MSA website. This is to avoid sending SMS to members without their consent thus avoiding it being regarded as spam.
5. Bank signitories
• Since Muthalib and Razeem have come back to UK, the transfer of bank account signitories to Thaa and Annu to be carried out asap
• Thaa and Annu to attend it within the next week
6. Event for January/February
• It was agreed that we should carry out an event in each month just to keep the momentum going. Ideas for an event for January and February were discussed
• Museum outing for January and Paintball for February were proposed.
• Main reason for museum outing were that this will give the members a feel of the british and European culture and history showcased in the museums thus giving the members an opportunity to learn something about the culture and history of Britain in particular and Europe in general. MSA to give funding for the museum outing.
• Paintballing is relatively new to most of the members and thus is intended to be very exciting. MSA to give funding for this event too.
• Feasibility of paintballing to be done before agreeing to carry it out as initial indication is that it will be very costly.
• Aricle to be written for the museum outing event. Thaa volunteered.
7. Other matters
• Fundraising issues to be discussed in the coming meetings
• Follow up of other untouch issues from previous meetings to be put in agenda for the next meeting
